JOB ANNOUNCEMENT​

JOB TITLE: Administrative & Event Assistant
ANTICIPATED DATES: Full-time
APPLICATION/RESUME DEADLINE: Open until filled
SALARY: $28,800/yr
HOURS: 8:00-5:00 M-F/Event Schedule days vary

OVERVIEW:
The mission of Fleet Week San Diego is honor and celebrate the men and women of the military through
public events that entertain and alliances that support and thank these heroes. We do this by producing a
variety of events through the months of September and October. Please view our website at

BASIC ASSIGNMENT:
The Administration & Event Assistant directly assists the Executive Director and the Event Coordinator with
many event and administrative related duties. This position is responsible for carrying out assignments
integral to the planning of Fleet Week’s special events and daily administrative tasks.
Primary assignments include taking and producing meeting minutes; creating promotional & collateral
materials; maintaining databases and files; run errands, maintain office supplies, faxing, copying, mailing,
submitting print orders, and providing logistical support for events. Will make and receive phone calls to/from
vendors, donors and sponsors for all events; including sending out mass mailings to donors, sponsors,
and/or attendees of the events. And will perform any other duties as assigned.

QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
The qualifications listed below are representative of the knowledge, skill, and/or ability required.
• All candidates must have: the ability to exercise good judgment, use common sense, have the ability to
deal with people at a variety of levels, both internally and externally, possess excellent time
management skills, ability to work independently, good communication skills, and be outgoing. Excellent
research skills, excellent written and verbal communication skills, detail oriented, self-directed and
resourceful. Strong work ethic with ability to work as part of a team in a fast-paced environment.
Dedication to achievement of the foundation goals.
• Minimum 2 years college education
• A valid California Drivers License
• Knowledge of events, graphic design, communications, and general business practices.
• Must be able to complete a task with minimum supervision. Strong detail and follow-up skills essential.
Ability to complete work in a priority order, meeting a high degree of professionalism, quality and
craftsmanship.
• Ability to effectively present information to management, staff and work groups verbally or in writing
format utilizing excellent interpersonal and professional customer service skills. Strong written and
verbal communication skills to function with all staff levels.
• Competence with Windows XP, Microsoft Word 2007 (Excel, Power Point, Publisher, Word) and
familiarity with Mac, QuarkXPress 7, and Illustrator CS3.
• Experience or interest with Military (esp. Navy, Marine Corps and Coast Guard) a plus.

Requirements: Must be at least 18 years old. Preferably a major or certificate program relating to Special
Events, Travel & Tourism, Administration, Marketing, Non-Profit, and any other related field.
